Atria Home Care is a subsidiary of Atria Senior Living that proudly provides services to those in need of care in New York City, Queens, the Bronx, Nassau, Suffolk and Westchester counties. We offer a complete range of personal support, nursing and companionship services available 24/7. Our clients receive one-on-one care from certified caregivers, all in the privacy and comfort of their house, hotel or senior living community. All of our caregivers must be certified as a home health aide (HHA) by the State of New York, and are directed and supervised by a registered nurse. Once hired, we carefully train each caregiver to meet our standards of quality and service and enroll them in continuing education programs, including fire safety, emergency procedures, client rights and infection control. We also take the time to gather information from our caregivers – from hobbies to second languages to cooking specialties – so we can match residents with caregivers who meet their needs on a practical and personal level.

Responsibilities

  • Responsible for interviewing, making recommendations regarding wages, hiring, training, developing, directing, and evaluating the Staffing Coordination Specialist in accordance to Company Guidelines.
  • Act as a consultant and resource for issues related to client staffing. 
  • Create, analyze, and communicate utilization and overtime reports to the Recruiter and management to ensure effective scheduling and fair hour distribution of staff. 
  • Complete and analyze weekly Quality Enhancement reviews to ascertain if the Agency is meeting the state regulations and Agency policies. 
  • Schedule the Staffing Coordination Specialists, ensuring they are properly scheduled for on call shifts. 
  • Supervise, direct, and provide guidance to Administrative Assistants and Receptionists when they are on call and assisting with scheduling of Agency staff. 
  • Review and oversee the scheduling completed by the Staffing Coordination Specialists to ensure they are effectively scheduling Agency staff, maintaining established on call staffing par levels, maintaining staffing communication documentation, and following all Agency policies and procedures. 
  • Communicate scheduling to nurse supervisors and management in a clear and timely manner. Report all significant staffing issues to Executive Director (ED), Assistant Executive Director (AED), and the on call Nurse immediately with proposed resolutions or support requests. Notify staff of schedule requirements and changes. 
  • Act as back-up support, as needed, by completing scheduling duties of the Staffing Coordination Specialist, in consultation with Nursing, Recruiting, the ED, and AED.
  • Understand and effectively utilize the Axis scheduling tool functions. 
  • Create and administer announcements to staff regarding training and other important items. 
  • Ensure adherence to State Health and Safety Codes, federal regulations for licensed home care agency, and all Agency policies and procedures, including Home Care staffing coordination and overtime management policies. 
  • Ensure the deliver of quality care services by monitoring the Telephony attendance tool and notifications. 
  • Ensure Telephony clock in and out issues are addressed immediately with staff follow-up or replacement. 
  • Maintain current and up to date availability tracking tool for staff. 
  • Operate within budget according to Agency's policies, procedures and standards.
  • Maintain active community and professional ties. 
  • May perform other duties as needed and/or assigned. 

Qualifications

  • High School degree or General Education Degree (GED) required.
  • Two (2) or more years of experience as a supervisor, Administrative Assistant or related experience. 
  • Computer proficiency. Experience in community health preferred. 
  • Experience training and managing people in the healthcare field. 
  • Experience supervising staff in the home care industry. 
  • Able to work flexible work hours due to demands of position, including weekends. 
  • Able to travel to Agency meetings, trainings and functions as directed by Agency management.
